Finch is fully compliant with GDPR. All personally identifiable information (PII), as well as all sensitive data is encrypted.

Data Protection

Protecting your Personally Identifiable Information (PII) is our priority. All identifying and sensitive data is protected with AES-256 bit encryption. Users have the right to view, edit and delete their data, or prevent the processing of their data.

We gather, store and share the following types of student information:

  • Personal Information (such as name, unique pupil number and address)
  • Characteristics (such as ethnicity, language, nationality, country of birth and free school meal eligibility)
  • Attendance statistics (such as sessions attended, number of absences and absence reasons)
  • Special educational requirements
  • Assessment information
  • Post 16 Educational data
  • Relevant medical information
  • Exclusions and behavioural information

Why we collect and use this information

We use the pupil data:

  • To promote student learning
  • To monitor and report on student achievement
  • To offer appropriate pastoral care
  • To assess the quality of our services
  • To comply with data sharing laws

While the majority of the student information you provide us is required, some of it is offered voluntarily. In order to comply with the General Data Protection Regulation, we will advise you whether you are required to provide us with specific pupil information or if you have a choice. We maintain strict policies on data retention.

Requesting access to your personal data

Parents and students have the right, under data privacy legislation, to request access to information that we hold about their children. Contact the school's Data Protection Officer if you want to seek your personal information or have access to your child's educational record.

You are also entitled to:

  • Object to the processing of personal data that is likely to cause, or is already causing, harm or distress
  • Prevent processing for the sake of direct marketing
  • Have inaccurate personal data corrected, blocked, deleted, or destroyed in certain instances; and
  • Claim compensation for losses caused by a violation of the Data Protection Act

We routinely share pupil information with:

  • Schools that the students attend once they leave us
  • Local government
  • The Ministry of Education (DfE)

We do not share information on our students with anyone without their permission unless the law and our policies allow us to.

On a statutory basis, we exchange pupil data with the Department for Education (DfE). This data sharing underpins policy and monitoring for school funding and educational attainment.

Regulation 5 of The Education (Information About Individual Pupils) (England) Regulations 2013 requires us to submit information about our students with the Department for education.
